Administrative Coordinator
The Administrative Coordinator position at CHRONOMED is a multidisciplinary role that plays a central role in the company’s operations. Reporting directly to management, this individual acts as a true administrative right-hand person, coordinating several strategic functions, including accounting, finance, human resources, marketing, sales, and general administration. In an innovative Start up environment, this position requires a high degree of autonomy, excellent organizational skills, and the ability to manage multiple projects simultaneously.
In accounting, the coordinator is responsible for managing VISA invoices, tracking employee expense accounts, sending invoices to clients, and monitoring company expenses. They also participate in year-end reconciliations and ensure the accuracy of financial information. These responsibilities are in addition to managing payments, revenue, and relationships with financial partners. In human resources, the incumbent manages payroll, prepares T4 slips, handles employee administration, and manages CNESST-related files. They also coordinate the recruitment, onboarding, and mentoring of interns, organize team-building activities, and contribute to maintaining a positive work environment that complies with legal requirements.
The marketing component includes managing the company’s social media accounts and updating the website. The coordinator contributes to developing CHRONOMED’s visibility by creating content, maintaining a consistent digital presence, and supporting promotional initiatives. In sales, the individual is responsible for managing the CRM to ensure rigorous follow-up with clients and business opportunities. They also participate in improving cold calling procedures, attend client meetings and product demonstrations, and develop and maintain business relationships with various partners.
The role also includes a significant financial component. The coordinator monitors cash flow, participates in the financial evaluation of projects, and prepares funding applications, claims, and grant files. They also contribute to the production of financial reports and audit documents, as well as the monitoring of performance indicators, enabling management to make informed decisions. Regarding general administration, the position includes managing the commercial lease, company insurance, and organizing board meetings. The coordinator ensures the smooth daily administrative operation of the organization and effective coordination between the various stakeholders.
Finally, the coordinator actively participates in other strategic tasks within the company. They attend management meetings, contribute to the continuous improvement of administrative and operational processes, and undertake various ad hoc projects as needed, depending on the organization’s priorities. This versatility makes the position a key role in CHRONOMED’s growth, where each day brings its own set of diverse challenges and opportunities to have a tangible impact on the company’s development.
